Organization: YMCA of Northern Utah
This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living, and social responsibility. This position reports to the Executive Assistant to assist will all internal human resources and Association Office tasks.




RESPONSIBILITIES OF AN OFFICE ASSISTANT:

Sets up new employee email addresses and Microsoft 365 access. Reassigns email addresses on an ongoing basis to ensure current list of active addresses.
Trains new employees on proper YMCA email signatures, vacation settings, email and system set up, and best practices around digital platforms.
Convert paper HR employee files into a proper, secure digital storage format, compliant with applicable state and federal laws.
Creates and maintains a professional development training calendar for YMCA leaders and staff. Tracks attendance for trainings and certification uploads.
Liaison to the Culture Committee. Responsible for day-to-day activities, planning and administering the committee. Creates employee accounts for access to Workplace. Manages Workplace with timely/weekly posts to help engage employees to foster a stronger culture.
Manage staff intranet. Guides and educates employees on the YMCA MSO.
Ensures staff teams have staff shirts, nametags, and business cards in a timely manner.
Oversees volunteer tracking by ensuring systems and processes are in place to track volunteers tracked appropriately (is the central command, but individual directors and managers directly oversee the volunteers and responsible for managing the volunteer(s) and abiding by the policies).
Organizes and coordinates Staff Volunteer Days for staff to participate in throughout the community.
Review relevant new hires for driving qualifications. If approved, add to new driver insurance, and store files securely.
Act as liaison to office building manager and communicates needs in a timely manner.
Welcome members and guest by promptly greeting them; oversee general YMCA email account by answering or directing inquiries to appropriate person.
Maintain office area including tv display, seasonal décor, keep office area and conference room clean and well maintained. Maintain office supplies, place orders, and restock supplies in a timely manner.
Assist with new employee office setup including keys, access card, technology setup, welcome gifts, and ordering name plates.
Assist accounting manager with opening the mail, sending checks and other outgoing correspondence as needed.
Deposit funds, including checks, at financial institution and forward receipt of funds to the accounting department.
Performs all other duties as assigned.

REQUIREMENTS TO BE AN OFFICE ASSISTANT:

Two to three years human resources administration experience required.
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Familiarity with human resource policies and procedures to ensure they meet association needs and goals.
Ability to keep information confidential.
Proficient with Microsoft Office Suite or related software.
