WORK SCHEDULE: Part Time (20-29 hours per week), Monday-Friday

REPORTS TO: Data Director
The Boys & Girls Clubs of Utah County provides afterschool and summer programs to kids throughout Utah County.
The Afterschool Programs are located on school-site locations and one Clubhouse and generally run M-F from 1-6
pm during the school year and 8-6 during the summer months. While at the program, youth receive a blend of
academic and enrichment activities. The Afterschool Program serves youth in Elementary, Middle, Junior High and
High Schools. All sites are licensed childcare sites. In addition, this program provides healthy food and snacks to
youth at the sites. The program provides transportation from designated schools to the Provo Clubhouse.
Provides clerical and administrative support to the Data Director and other administrative staff, as necessary.
Prepares correspondence and reports, processes purchase order forms, maintains inventory of supplies, purchases
for programs, and maintains electronic files.
KEY ROLES (Essential Job Responsibilities):
1. Performs data administrative assistant duties, prepares correspondence and reports as requested by
supervisor and composes draft letters following established formats. Proofreads all materials for accuracy
prior to supervisory review and signature.
2. Maintains electronic filing systems, assuring accuracy and timely and facilitates easy retrieval of
3. Prepares organization spreadsheets for grant record keeping, employee maintenance, etc.
4. Processes purchase orders.
5. Maintains inventory of supplies in the warehouse.
6. Purchases inventory for programs.
7. Perform other related secretarial or administrative duties as requested.
Internal: Maintains close, daily contact with various professional staff members, and supervisor to receive/provide
information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel.
External: Maintains contact with the general public to give and obtain information, either in response to inquiries
or as instructed by the supervisor.
● High school diploma or equivalent
● One year of office clerical experience
● Training in administrative skills and use of common office equipment

● Typing/keyboarding skills of at least 50 wpm
● Knowledge of Microsoft Office software and general computing skills, strong Excel experience and
database management
● Strong communication skills both verbal and written
● Excellent organizational skills and attention to detail
● Strong customer relations skills
● Able to maintain strict confidentiality
● Ability to manage multiple tasks and to develop solutions to problems with limited supervision
